HARRA Leadership Team Agenda
April 18, 2005
Attendance: Rachel Guenther, Audrey Christiansen, Bob Hoekman, Randy Carlson, Annie Hadow, JoAnn Luco, Roger Boak, Bruce Mansur (BARC), Doug Spence, Tom McBrayer, Noah Matthews, Steve Shepard, Barbara Shepard
Meeting began 6:00pm
IronFoot Awards—Roger
Some awards have already been distributed. Steve suggested using the Jerry Smith email for the remainder.
“Unless a club wants to rank their team members in a specific order or division”—Roger/All
Roger polled HARRA clubs about this rule via email last month and received 9 responses. 3 clubs were in favor of change, 6 were against. The Board discussed if team election should be held prior to the season or during. Roger added that the current rule was also a disadvantage for record keeping. Barb suggested there be a compromise of organizing teams at the beginning of the season for the sake of the workload. Steve said it was inappropriate to change rules mid-season. The Board decided to leave this issue at this time, as there is not a strong consensus for change.
HARRA Series Race Selection Guidelines—Annie/All
Randy presented a draft of the selection rule. There was general discussion about “grand fathered” races vs. new races, and which would be included. Steve recommended the Spring Series Selection Committee should:
1) Have the objective of selecting the races that together would comprise the best possible HARRA Spring Series in the eyes of HARRA members
2) Request open nominations for races
3) Advise nominees of HARRA's preferred race dates (2/4/6/8 weeks before and after the Bayou City 10k which has a permanent spot in the HARRA Spring Series)
4) Place a premium on races with HARRA Series experience and/or are managed by HARRA clubs, and
5) Use judgment and experience instead of hard rules, due to the impossibility of foreseeing all future considerations.
Overall, HARRA races have done very well in all areas, but smoothing out the calendar is a top priority for the 2006 Spring Series. Steve proposed a Jerry Smith email and a website announcement for clubs and race directors to contact Randy by June 1 with Spring Series nominations. Selection rules/guidelines are on hold until the Board receives feedback.
HARRA Summer Celebration—Doug
There have been 53 sign-ups out of a limit of 250 in the first weekend of online registration. Bart Yasso is confirmed as the guest speaker. The Celebration will take place at the Spaghetti Warehouse on June 4 at 6pm. The list of door prizes is long and growing! Details are listed in Inside Texas Running.
2005/2006 HARRA Leadership Team—Steve/All
Tom Stilwell was unable to attend. An informal poll of the board has been taken to give Tom a base for what positions need to be filled.
HARRA Buys You Lunch—Steve/All
In order to avoid the confusion last year of compensation for those who had signed up before the lunch program, HARRA Buys You Lunch has started earlier this year, and will run from April 15 until June 30 on-line. There have been 33 registrations so far.
HARRA Above and Beyond Award—Rachel/All
Rachel presented the nominees and the results from an email vote conducted last month. There was some discussion as to whether the final vote would be conducted in a special committee. Doug asked if the award would be in a plaque form or something else. Steve proposed to finish the meeting and review this separately afterwards.
Activity Updates
Membership—Barb
There are 85 new memberships: 49 individual and 16 households. Total memberships to date are 1580: 836 individual and 278 households. 33 new members registered at PIM.
Treasury—Audrey
Nothing out of the ordinary to report.
Web Site—Geoff
Geoff was unable to attend. The Board is extremely pleased with all the progress on the site.
Footprints—Doug
Eight pages of material are forthcoming for May/June. Steve added that more clubs are participating with submissions.
Member Discount—Doug
So far there is another masseuse that has expressed interest in the discount program, and there are a few leads to follow up with.
VVIP—Camille
Camille was absent. Steve said everyone in the VVIP program is current.
Power In Motion—Lisa
Steve spoke for Lisa, who could not attend. 81 PIM participants and 29 PIM coaches have signed up so far for the Wortham’s Loop the Lake 5k, the PIM goal race. PIM has doubled the expected attendance for this race. PIM participants appreciated the Tour de Bayou move to Tuesday nights, eliminating the Wednesday schedule conflict.
Tour de Bayou—Roger
Total numbers are up, over 350 participants in the first two stages. There have been twice the number of men than women, although there is an increase in women ages 20-29.
HARRA Volunteer Day—Steve
A notice is up on the website for May 7. Steve said he is awaiting details and guidelines from the Memorial Park Conservancy, whose responsibility it is to organize. HARRA members are simply to show up to provide manpower.
Meeting closed 7:25pm
