MINUTES FROM THE HOUSTON AREA ROAD RUNNERS ASSOCIATION BOARD MEETING

FEBRUARY 15, 2010

 

 

The following people were in attendance: Bob Hoekman, Jay Hendrickson, Jen Brown, Lee Greb, Helen Grant, Eddie Rodruigez, Vic Kaiser, Audrey Christiansen, Tom McBrayer, John Phillips, JoAnn Luco, Sadie Greenman, Carol Watson (Memorial Park Conservancy), Gabriel Rodruiguez, Mark Fraser, Ron Morgan, Roger Boak, LaErica Johnson, Bob Schamus, Dana Hitzman, and Annie Hadow.

 

Ron called the meeting to order at 6PM.

 

The meeting began with each person in attendance introducing him or herself.

 

CPR/AED: Bob reported that he is training 6 new team members. He noted that there was a cardiac arrest during the Marathon and that the Marathon team covered it well.

 

Treasurer’s Report: Audrey advised that January was a slow month, with the exception of about $2,300 in expenses paid for the Kids Run. Net income YTD is down about $5,000, but will equalize once membership renewals start coming in.

 

Membership: Helen announced that we currently have 1583 members. There was a recent increase due to Spring PIM.

 

VVIP: Ron advised that he and Joe are still working on redesigning the program. Bob added that he records and submits the AED team VVIP points, so Race Directors don’t need to count the AED team volunteers in their reporting.

 

Bayou Bash / Membership Appreciation Picnic: It was decided that the Bayou Bash Relay will be held at 4PM on May 8. The HARRA Membership Appreciation Party will be immediately following the race. The party will be open for each runner with a race bib and all HARRA members. HARRA will take steps to improve access to the party so as to avoid any unnecessary lines. Audrey is checking on a band. Mark and Annie will continue to communicate about and coordinate the Membership Appreciation Party.

 

HARRA Banquet: The Board discussed and decided to have Taco Cabana cater again this year. Mark is working on getting a speaker lined up. The banquet is on June 5th.

 

Clothing: The Board discussed ordering one of each style imprinted with the HARRA logo to use for photographs to post on the website for ordering. LaErica agreed to get the ordering done this week.

 

HARRA Brochure: Annie to get with April on this.

 

Footprints: Gabriel announced that he is looking for stories to submit for the HARRA News Blog. Please send to Gabriel by Tuesdays of every week.

 

Member Discount Program: Ron advised that we still need someone to spearhead this program. He suggested that all Board members be involved with identifying new  Member Discount business partners.

 

PIM: Lisa is retiring as director and Vic Kaiser will be taking over. Vic is a three time coach and former PIM participant, so has been involved with the program from both sides.

 

New Board Members: Ron suggested putting together a nominating committee to find people to run for Board positions.

 

Priority Marathon Registration: Ron raised the possibility of investigating a program allowing automatic entry into the Marathon for HARRA members who have been members for a yet to be defined time period and who run and / or volunteer for a predetermined number of races.  Gabriel added that we could investigate having a week’s window during which HARRA members who meet the qualifications could have access to registration prior to registration opening up to the public. Ron and Roger agreed to contact David Chester to see if they can attend a future Marathon Board meeting to see if the Marathon would consider having a special registration program for HARRA members.

 

Bayou City Classic 10k: Ron announced that packet stuffing is taking place tomorrow, February 16th, in the Golf Center meeting room. Fall 2009 Runner of The Season prize money will be awarded at the race. The Board discussed having a special “predict your time” competition. Come by the HARRA tent to record your time. The top 5 closest to their predicted time will be awarded HARRA hats. Gabriel moved that we have the “predict your time” competition. Mark seconded. The Board approved.

 

There was no further business to discuss. The meeting adjourned at 7:15.
